We are looking for a Sales and Reservations Coordinator to join our dynamic team and support our reservations, events, and sales administration for the group, based in Paris.
Position Overview
The Sales and Reservations Coordinator will play a key role in:
Providing prompt, courteous and efficient handling of all requests for guest room reservations, changes, cancellations and information, Coordinating private events, providing critical administrative support to the sales and marketing team. This position requires a customer-focused mindset, strong organizational skills, and the ability to manage multiple tasks in a fast-paced, luxury environment
Responsibilities
RESERVATIONS MANAGEMENT:
Handle reservations for both Paris and New York properties, ensuring accuracy and timely responses to all inquiries. Respond to guest requests and provide tailored recommendations to enhance their stay. Coordinate with the properties team to ensure seamless guest experiences. Update group PMS, CRS and all systems with reservations and client’s data. Update reports and STR data weekly. Restaurant group reservations, proposal and follow up.
EVENT COORDINATION:
Assist clients in planning and booking private events. Serve as the main point of contact for event inquiries, providing detailed information and bespoke proposals. Collaborate with the operations team to ensure all event requirements are flawlessly executed.
SALES ADMINISTRATION:
Support the sales team by preparing proposals, contracts, and presentations for corporate and leisure clients. Maintain and update client databases, sales pipelines, and reports. Coordinate sales initiatives, promotions, and partnerships across both properties. Prepare the formatting of monthly sales reports and marketing plans in accordance with the direction of the Director of S&M.
CUSTOMER SERVICE:
Serve as a brand ambassador, ensuring every client interaction reflects our high standards of service and luxury. Provide post-stay follow-ups to collect feedback and foster client loyalty.
OTHER RESPONSIBILITIES:
Liaise with the marketing team for promotional campaigns and offers. Monitor room availability and pricing to optimize occupancy and revenue. Assist in managing online booking channels and third-party platforms.
Qualifications
Previous experience in hotel reservations, event planning, or sales coordination, preferably in a luxury setting. Clear and precise use of written and spoken English. Exceptional communication skills (speaking and writing) in English and French. Strong organizational and multitasking abilities with keen attention to detail. Customer-centric approach with a passion for delivering exceptional service. Proficient in Microsoft Office Suite and hotel reservation system (ProtelAir). Knowledge of hospitality sales processes and revenue management is an advantage.
